Database The key to the solution system is accurate database maintenance. Our standing orders team monitors the availability of titles on an on-going cyclical basis throughout the year.

Customers' orders are then placed on a 'one-off' basis where possible. As a result, the standing orders are controlled and monitored by Coutts rather than by the publisher, ensuring that titles are ordered automatically as required. This allows customers the option to choose to receive, for example, an annual publication less often than anually, and permits new orders and amendments to be made at any time throughout the year.

Ordering cycle - Coutts contacts the publisher of any given title for confirmation of price and delivery date three months prior to the expected publication date. This proactive approach ensures accurate, timely ordering, so that the requirements are received on or around publication date.

Checklist - solution provides a monthly checklist of each customer's total standing order requirements and categorises them by anticipated month of publication.

The checklist (that is, for all titles listed for ordering on a twelve months' cycle) is made available online to the customer and clearly displays existing orders together with other essential purchasing information, on a monthly basis. The checklist is also available in hardcopy format and can be sent as an email attachment.

The checklist shows publications on order categorized by month, current price of each publication, total monthly spend, accumulative spend and the total annual spend, useful for financial budgeting. The customer can amend existing requirements as they appear on the list, when necessary. It also indicates exceptions if titles have changes date from the original list.

 
Transferring - Coutts can handle the cancellation and transfer of titles from existing suppliers. Transferring to solution is quick and simple, because it works on a monthly basis, enabling new requirements to be absorbed into the order cycle at any point throughout the year.
